Administrator - Property and Procurement

Presbyterian Support Southland (PSS) is a Charitable Trust and is the largest social service and aged care provider in Southland. PSS encompasses two service arms – Family Works, which offers a range of social services, from counselling and social work support, through to buddy and parenting programmes, and Enliven, which provides a range of services for our elderly. About the role:

We have a permanent part time position available (twenty hours per week) for an experienced administrator to provide support to the Property and Procurement Manager.  The key responsibility of the role is to ensure the smooth running of the maintenance function at Presbyterian Support Southland.

Key Responsibilities:

The key tasks for the role include, but are not limited to:

  • Monitoring and responding to Maintenance & Procurement Requests
  • Ordering of supplies and ensuring stock levels are maintained
  • Reconciling purchase orders with invoices for authorisation by Property and Procurement Manager
  • Performs general administrative duties which may include filing, typing, photocopying, updating files, meeting planning
  • Ensure deliveries and packing slips are accurately reconciled.
  • Record Minutes from staff meetings
  • Prepare personnel files for new staff and maintain all staff files.
  • Organise mandatory training for the maintenance team
  • Entering timesheets for approval by Manager

What you will need to be successful in the role:

  • Previous administrative experience in a similar role preferred
  • Effective communicator with excellent written and verbal skills
  • Ability to multi-task and juggle priorities across the day
  • Intermediate computer skills, confident in using Microsoft Office (in particular Outlook, Word and Excel)
  • Ability to show initiative and work autonomously
  • Clean New Zealand Driver’s License.
